Booking Procedure
First go to the Information page and fill out the information request
form to send us the details of your projected stay in Rome and any
requests you may have. We will in turn check availability and send
you an email that lists the apartments available that meet your
needs, and the corresponding prices. The email will also direct
you to the URLs (internet addresses) where you will be able to read
complete descriptions and see photos of the apartments available.
If you wish to reserve one of the apartments, please
go to the Reservations page where you will find a form to fill out
(similar to the information request form) to reserve your desired
apartment. Please note that in order to complete the form, you need
the apartment name, code, and price, which are listed in the email
that we will have sent you describing each apartment. Once we have
received the reservation form, we will make a temporary booking
in your name for the apartment you have requested. We will then
send you an email (or a fax, if you prefer) detailing how to send
payment for the apartment. Payments can be made in one of two ways:
by international bank transfer, which has a small fee both for the
sender and receiver, or by international express delivery service
(Western Union, Thomas Cook etc) which charges a percentage commission
that varies from country to country.
If the booking is made more than 2 months in advance,
50% of the price of the apartment is required to reserve the apartment.
If the booking is made within two months of the client's stay in
Rome, the full amount must be wired to reserve the apartment.
After we send you the details of the rental agreement,
you have three working days in which to send payment. Please email
or fax us once you have sent the payment. A reservation will not
be considered confirmed until we have received the payment.
Once a booking has been made you are liable for all
the Booking Conditions, so please read them carefully before proceeding.
Please keep a copy of our Booking Conditions for your files.
Booking Conditions
All bookings are made with Vacanze Romane acting
as agents of the owners in Italy. By dealing with us you agree to
the following conditions:
Booking deposit: If
the contract is made more than two months before the your stay in
Rome, a deposit of 50% of the rent must be paid upon booking to
reserve the apartment. If the deposit is made within two months
of the client's stay in Rome, the full amount must be sent to reserve
the apartment. No contract with us will exist until we have received
the deposit, and we have subsequently confirmed your booking. Should
you later cancel, cancellation charges will become payable in accordance
with paragraph 3.
Completing Payment: If the
reservation is made by sending 50% of the full rent, the balance
must be sent within one month of the client's stay in Rome. If payment
of the balance has not been executed at least one month prior to
the stay, we shall be entitled to cancel the booking.
Cancellation by the Client: If
you alter or cancel your booking more than three months before arrival,
you will be entitled to an 80% reimbursement. If you alter or cancel
your booking from one to three months prior to your arrival in Rome,
you will be entitled to a 50% reimbursement. No reimbursement will
be given if changes are made in less than one month before the rental
begins. Cancellation must be received by us in writing (fax or e-mail
) as soon as possible.Once arrived in Rome, and once received the
apartment's keys, no refunds will be possible. If the apartment
will present electric or hydraulic
problems you will have to contact the agency who will try help.
If the
agency will not be able to solve the problem a partial refund will
be
possible.
Amendments and Alterations:
If you change your dates, this becomes a new rental. Your deposit
is subject to the cancellation conditions as explained in paragraph
3.
Amendments and Cancellations by Vacanze Romane:
Though it is unlikely that we will have to make any changes to confirmed
arrangements, it does rarely happen and we will advise you at the
earliest possible date. If we are unable to provide you with the
apartment you have booked, we reserve the right to transfer you
to a similar apartment. However, if this is not possible or you
do not wish to be transferred, we will cancel the booking and refund
the amount paid to us in full. The cost to return the payment to
you will be our responsibility. We will not be liable for any further
obligations or claims by you.
Cleanliness: You will find
the apartment clean. The apartment must be left in good condition
at the end of the rental period. Additional cleaning charges may
be assessed against the security deposit if the home is not left
in reasonable condition in the opinion of the owner.
Comportment: Clients are
expected to comport themselves in a reasonable and educated manner.
